NovaSphere is engaged with international partners working on climate governance and the design and implementation of MRV systems (measurement, reporting, verification) to support effective and efficient climate action strategies for national and sub-national stakeholders and local communities to invest in new infrastructure and adaptation strategies. At the same time, climate governance and MRV systems have important synergies with other non-GHG development goals—namely changes in economic, social or other environmental conditions such as employment, income levels, attracting additional private sector investments, air pollution, health benefits, social equity, biodiversity and other sustainability goals (i.e., the Sustainable Development Goals “SDGs”). 

 

Scaling and strengthening climate governance in the nations for establishing effective and efficient MRV systems will de-risk and mobilize investments to accelerate feasible mitigation actions to achieve NDCs (nationally determined contributions). This coordination and connectivity will enable stakeholders to apply a wide approach to address sectoral priorities. Targeted technical and financial support will build MRV capacity and facilitate multi-sectoral coordination between and within government ministries, sectors, the public and private stakeholders, civil society, indigenous populations, academia and international experts. It will also allow them to scale priorities and attract financing at levels needed to implement their respective NDC, enhance ambition and achieve transformational change.

Senior Operations Officer

Start date: October 2022

Employment status: Full Time 

 

Location: Remote role with preference to be based in Ottawa-Gatineau Area or the Greater Toronto Area 

 

NovaSphere is seeking a highly experienced Senior Operations Officer to join our team. The ideal candidate is a flexible, self-starting individual who is eager to support the organizations day-to-day operations. The candidate is a skilled, pro-active communicator capable of managing accounting systems, coordinating with project management and administrative staff; and supporting senior management including Board activities. 

 

Indicative List of Responsibilities:

  • Coordinate activities related to budget and funding (project preparation and submissions, progress reports and financial statements) and prepare related documents/reports.

  • Support contract negotiation and execution with consultants.

  • Support NovaSphere accounting systems, including coordinating with the Chief Operations Officer, accountants and auditors. 

  • Support and coordinate with NovaSphere management team. 

  • Perform other duties as assigned.

 

Education, Experience and Qualifications:

  • A degree in business, accounting, management, or equivalent is required.

  • At least 10 years of relevant work experience in organizational operations, budgeting, accounting, and administration, and Board activities.

  • Excellent written and verbal communication skills in English is required. Knowledge of French is highly desired.

  • Excellent communication skills coupled with a sense of leadership.

  • Have strong personal and professional judgement.

  • Exceptional organizational skills and multitasking abilities.

  • Experience working with variety of software including Microsoft Office, Google G Suite, QuickBooks, HR software, and Project Management software.

  • Strong initiative with the ability to manage daily activities and achieve expected results with minimal oversight.

Senior Project Manager

Start date: October 2022

Location: Remote role with preference to be based in Ottawa-Gatineau Area or the Greater Toronto Area 

 

NovaSphere is seeking a highly experienced Senior Project Manager to join our team. The ideal candidate is a flexible, self-starting individual who is eager to support management and coordination of NovaSphere’s principal international projects. The candidate is a skilled, pro-active communicator able to perform administrative tasks, including tracking project budgets and administering payments and contracts as part of accounting systems, performing project management duties and contributing to overall project monitoring, reporting and evaluation as part of project management systems.

 

Indicative List of Responsibilities:

  • Monitor and maintain project schedules and annual project budgets, including timelines, milestones, delivery deadlines, and outputs using project management tools, and collaborate with team members to optimize systems.

  • Track progress and deadlines and prepare status reports.

  • Coordinate activities related to budget and funding (project preparation and submissions, progress reports and financial statements) and prepare related documents/reports.

  • Draft related status reports, identify shortfalls in delivery, budget overruns, and bring to the attention of management.

  • Support contract negotiation and execution with consultants.

  • Coordinate with international project focal points for administrative coordination of project implementation activities, involving extensive liaison with diverse individuals and organizations, process and follow-up on administrative actions, i.e. contracting of personnel, travel arrangements, authorization of payments, disbursement of funds, procurement of equipment and services.

  • Support and coordinate with NovaSphere management team and other project stakeholders to ensure projects are on track and within budget. 

  • Oversee junior administrative staff that compile, summarize and enter data on project activities.

  • Provide guidance and training to new/junior administrative staff.

  • Perform other duties as assigned.

 

Education, Experience and Qualifications:

  • A degree in business, accounting, management, or equivalent is required.

  • At least 10 years of relevant work experience in project management, planning and tracking, as well as organizational operations, budgeting, accounting, and administration.

  • Excellent written and verbal communication skills in English is required. Knowledge of French is highly desired.

  • Excellent communication skills coupled with a sense of leadership.

  • Have strong personal and professional judgement.

  • Exceptional organizational skills and multitasking abilities.

Administrative Officer

Start date: October 2022

Location: Remote role with preference to be based in Ottawa-Gatineau Area or the Greater Toronto Area 

 

NovaSphere is seeking an Administrative Officer to join our team. The ideal candidate has strongorganizational skills and multitasking abilities and is eager to support both the organizations day-to-day operations as well as the principal international projects as required. The candidate will work under the Senior Operations Manager as well as the NovaSphere Management Team and will perform administrative tasks, including compiling project data, supporting project activities (e.g., organizing contracts for communications, translation, travel), organizing and managing schedules and calendars for staff, assist with organizing events, attend meetings and record notes as necessary and assist with the management of final reports.

 

Indicative List of Responsibilities:

  • Research, compile, analyse, summarize, and present basic information/data on specific projects and related topics. 

  • Perform administrative tasks such as scheduling meetings, preparing presentations, recording decisions made, etc. Take minutes at meetings and ensure that proper record keeping is taking place and maintained.

  • Proactively manage and coordinate multiple schedules to ensure a manageable amount of travel, meetings and events as well as booking travel and accommodations.

  • Provide general office assistance including responding to requests for information and inquiries; review, log and route incoming correspondence and set up and maintain files/records.

  • Communicate with management, internal staff and project stakeholders

  • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

  • Support the start-up phase of any projects as required.

  • Foster robust project file management, documentation, and reporting procedures to support the organization. 

  • Assist with the finalization and publication of reports in multiple languages, including coordination with the editor, translation services and publishers.

  • Performs other duties as assigned.

 

Education, Experience and Qualifications:

  • A degree in office administration and operations, or equivalent is required

  • At least 5 years of relevant work experience in administration.

  • Excellent written and verbal communication skills in English is required. Knowledge of French is highly desired.

  • Ability to work interactively with stakeholders from different contexts, countries, and backgrounds.

  • Exceptional organizational skills and multitasking abilities.

  • Demonstrated administrative and computer skills including experience working with variety of software including Microsoft Office, Google G Suite. 

  • Experience working in an NGO or international organization is an advantage.
